What we collect

We collect information necessary to provide the TutorPing service:

• Account information: name, email address, profile photo via Google sign-in
• Tutor profile data: subjects you teach, location, rates, teaching style, response preferences, and voice examples
• Landing page content: headline, testimonials, availability, booking preferences — displayed publicly on your tutor page at yourname.tutorping.ai
• Booking data: student names, email addresses, session dates/times, and subject requested — collected when students book sessions through your page
• Payment data: processed by Stripe. We do not store credit card numbers. Stripe handles all payment processing under their privacy policy.
• Google Calendar data: if you connect your Google Calendar, we read your calendar events to check availability and create/delete session events on your behalf. We store OAuth tokens securely to maintain the connection.
• Usage data: which leads you view, copy, or skip; page views on your tutor page; booking and inquiry activity

How we use it

We use your information to:

• Find and score relevant leads from public online sources
• Generate personalized response drafts that match your voice
• Send email alerts for high-quality leads
• Operate your public tutor landing page and booking calendar
• Send booking confirmations and session reminders to you and your students
• Create and manage Google Calendar events (if connected)
• Track page views and booking analytics on your dashboard
• Improve the accuracy of lead matching over time

Your public tutor page

If you subscribe to the Starter plan, your tutor page is publicly accessible at yourname.tutorping.ai. This page displays your name, headline, subjects, testimonials, availability, and booking calendar. Your email address is not displayed publicly — students contact you through the contact form or booking system, and you receive notifications via email.

Public data we monitor

TutorPing monitors publicly available posts on Reddit, Discord, Craigslist, Student Doctor Network, and other public forums. We do not access private groups, direct messages, or any content that requires authentication. All monitored content is publicly accessible to anyone with a web browser.

What we don't do

• We do not sell, rent, share, or trade your personal information with anyone
• We do not use your data for advertising
• We do not share your tutor profile with other users (except what's on your public page)
• We do not post content on any platform on your behalf
• We do not store credit card or payment information (handled by Stripe)

Third-party services

We use third-party service providers to operate TutorPing:

• Google Firebase: authentication
• Anthropic Claude API: lead analysis and response generation
• Google Calendar API: calendar sync (only if you connect)
• Stripe: payment processing for subscriptions
• Google Cloud: hosting and data storage
• Cloudflare: DNS and subdomain routing
• Nodemailer/SMTP: email delivery for alerts, bookings, and reminders

These providers process data on our behalf under their respective privacy policies. A current list of sub-processors is available upon request by emailing hello@tutorping.ai.

Data security

All data is transmitted over HTTPS. Your account is secured via Firebase Authentication. Tutor profile data, lead history, and booking records are stored in a secured MongoDB database with access limited to your account. Google Calendar OAuth tokens are stored encrypted. We do not store passwords — authentication is handled entirely by Google Firebase.

Your rights

You can request to view, export, or delete your data at any time by emailing hello@tutorping.ai. We will respond within 30 days. You can also delete your account directly, which removes your tutor profile, lead history, booking records, landing page, and source configuration.

If you connect Google Calendar, you can disconnect at any time from your TutorPing dashboard, which deletes stored OAuth tokens.

If you're a resident of California, you have additional rights under the CCPA including the right to know what personal information we hold and the right to request its deletion.

Data retention

We retain your tutor profile, lead history, and booking records for the duration of your active account. Raw scraped posts from public sources are automatically deleted after 14 days (educational content may be retained longer for our content analysis service). Activity logs are automatically deleted after 30 days. If you delete your account, we will remove your data within 30 days.

Changes

We may update this policy as the service evolves. Material changes will be communicated by email to active users.
